In this article you will learn how to manage requests students make to see you. Select a link below to jump to a section:
SECTION 1
View Student Requests
You can view student requests at any time by going to the Requests page in the navigation. When a student makes a new request for a future date, you will also see a new notification on the notification bell icon at the top right of the page. (See circled in the image below.) You can click this icon and specifically choose Student Requests to see only notifications that are student requests.
If you click on one of these request notifications, you will be redirected to the Requests page where you can see them in detail.
The Requests page is divided into Unscheduled Requests and Scheduled Requests. Unscheduled Requests shows all the requests students have made that you have not yet scheduled or cancelled. Each request record will show the Requested Date the student wants to be scheduled to, the Requested Period they want to be scheduled to, the Student, a Comment if they have added one, and the Date Submitted, the date the made the request. To view a comment, click the speech bubble icon. (See circled in the image below.) Whether or not your school requires comments to be added for student requests is a setting an admin can make on the Configurations page.
If you choose the Scheduled Requests tab, you will see a list of all student requests you have dealt with. If they have been scheduled, you will see a green check mark under Scheduled. If you cancelled the request, you will see a red 'X'.
SECTION 2
Schedule Requests
How do you schedule a student request? There are a few ways. First, from the Requests page select the Actions button next to the request you want to schedule. There are 2 options for scheduling in the Actions menu.
- You can select Auto-Schedule, which will schedule the student to a time closest to the date they requested. If you know the date and period they requested is available, they will be scheduled to that date. If not, they will be scheduled to the next available date.
- The second option in the Actions menu is Go To Schedule. This will open up the Appointments page with that student, where you can manually schedule them either to the date they requested, or to another date.
There is another option as well. A student can make one or more requests. They may be requesting to see you, and other teachers for the same period, so that they will be scheduled by one of the teachers they requested. How will you know this? When on the Appointments page, you may see a Requests icon. (See circled in the image below.) The student isn't scheduled, but this icon means they have active requests.
Click the icon, and a panel will slide out that will show you all the requests this student has made. You could choose Schedule to schedule them to one of these teachers, or yourself if you are one of the requested teachers.
Even if you decide not to schedule the student, this icon is helpful because it lets you know that this student has made specific requests, and this could impact your scheduling decisions for them.
SECTION 3
Cancel Requests
Cancelling a student request means that you have seen it, but can't schedule they student when they requested. On the Requests page select Actions next to the request you want to cancel. Choose the option Mark As Cancelled. This will remove the student's request.
SECTION 4
Student Pending Requests
When a student makes a request of one or more courses, these courses will have a 'chip' above the course name on the Schedule page that says Course Requested. This lets students know that these requests are pending - they haven't been scheduled yet. See the image below for an example.
If a teacher marks a request a cancelled, the student will not longer see the Course Requested chip. It is no longer requested.
If a student's request is accepted and they are scheduled, they will see that they are scheduled to that course on their Scheduled Courses page.
