In this article you will learn how to:
- Create a Department
- View Departments
- Edit and Delete Departments
- Move Staffers to a Different Department
SECTION 1
Create a Department
You school may have departments that have been imported into Enriching Students from your SIS. They may have staff already assigned to them. However, you may need or want to create your own departments within Enriching Students, and assign staff members to them. To start:
- Go to Admin, then Manage Departments. On this page select the Create Department button.
- On the Create Department page, type the department name in the Add New Department field. Then, click Save. Your new department will be created with 0 users.
You will need to add users to you newly created department by using the Manage Staff page. On the Manage Staff page, edit the staffer you want to add to the department by selecting the department under their Course Info.
SECTION 2
View Departments
On the Manage Departments page, you will see a list of all of your school's departments with the Department name, the current Users in Department, and the Active status. If the department is active you will see a green check mark, if it's inactive you will see a gray 'X'.
SECTION 3
Edit and Delete Departments
Editing a Department
To edit a department, select the Actions button and then Edit Department, next to that department.
On the Edit Department page, you can change the department name. If the department is currently inactive, you can mark is as active. If it is active, you can only de-activate it if it has 0 users.
Deleting a Department
If a department has users in it, or if it's your homeroom/homebase department, you will not be able to delete it. You will only see an option to edit it.
This might present an issue if you need to delete a department but don’t want to assign the staffers in it to another department. This is what the Unassigned department is for. Select Actions > View Staffers next to the department you want to delete. A panel will slide out with the list of staffers. Check the boxes next to their name, and select Unassigned from the department dropdown. Save and the select Close. These staffers have now been moved to Unassigned, and the department they were in can now be deleted.
You can delete a department as long as it's not the homebase, and there are currently no staffers assigned to it. To delete a department, select Actions and then Delete Department.
You will need to confirm that you want to delete this department by selecting the Delete Department button. If you don't want to delete the department, select the 'X' at the top right of the screen.
Homebase Department
You cannot edit or rename your school's Homebase Department. When you go to the edit page, the fields will be disabled, and you will see the message below.
If you need to update the name of your Homebase Department, please send us a support ticket and we'll help you with that.
SECTION 4
Move Staffers to Different Departments
You can move staffers between departments on this page as well. Select Actions next to the department you want to move a staffer from. Select View Staffers.
A panel will slide out that will show you a list of all of the staffers in that department. Check the box next to the name of any staffers you want to move. Then, select the new department you want to move them to. Click Save, and then Close. The staffers have now been moved to a different department.
One important note - doing this will not automatically update the staffer’s course name. So if you need to make sure that the staffer’s default course name matches the department name, you will have to edit the staffer’s course name from the Manage Staff page.
