This document describes the new features for the March 2024 Update of Enriching Students.
Feature Updates for All Users
Appointment Requests
Bulk Edit
The Requests page now allows multiple appointment requests to be marked as cancelled at the same time. Click the Cancel Requests button.
Select the checkbox next to one or more requests. To remove all requests, select the box next to Requested Date (see circled below). Once you've selected the requests you want to cancel, select Delete.
Analysis
All Courses Report
On the Analysis report, under Courses, the All Courses report now lets you select a date range as well as all staff or an individual staffer. The report also displays the number of appointments for the day as well as the max number of students.
Students
Filter By Academic Grade Cutoff
To help schools better manage student's access to self scheduling, we've added a feature that will allow you to filter the students by cutoff grade.
On the Students page, do a search for students, say by graduation year (select Find Students By > Graduation Year). Then select Filter button, and you can choose to filter students by the grade cutoff. You can choose to view all students who are at-risk, meaning they have a grade below the cutoff set by your school. Or, you can view specifically the students who are not at risk in any subject.
Homebase Teacher
When a student is assigned to multiple homebase teachers, they are currently duplicated in the list, making it appear that they are in the system more than once.
An adjustment has been made; now, when a student has multiple homebase teachers, they will appear once on the page but in the homebase teacher column, all their teachers will be listed.
Taking Attendance
Students Marked as Absent
If your school imports an attendance file to mark students as being absent, a tag will now appear on the Take Attendance page that will indicate the value was set by the import.
Feature Updates for Admin Users
Appointment Exports
Set Headers
When creating an appointment export (Admin, Export Data), you now have the ability to set the headers for the CSV file. The application will provide default headers that you can then edit as needed.
Attendance Reminder Email
Additional Configuration Values
Based on feedback from schools, we've added the ability to fine-tune the attendance reminder emails.
- Set the days of the week to include.
- This allows a school to determine what days of the week should be included in the report. So if you use ES every day of the week, but only Mondays need attendance, you can choose to only have the emails go out on Mondays.
- Determine number of days prior to the current day to include.
- Currently, the default is six days, that is, the email will include today and the prior six school days. With this update, an admin can decide to only include today, or today and the prior day etc., out to the prior six days.
The process will take into account the days of the week to include. For example, a school wants to only include Thursday and Friday in the email. And the number of days is set to 1 prior day, meaning it will include the current day and the prior day.
When the process runs on Thursday, only Thursday will be included. When the process runs on Friday, the email will include both Thursday and Friday.
Manage Homebase Groups
Multiple Groups
Until now, a staffer could only have one homebase group in Enriching Students. With this rollout, a staffer can now have as many homebase groups as they need. (This is still managed under the Admin, Manage Homebase Groups page.) You will receive a warning if you mark more than one roster per staffer, just to ensure that it's not a mistake (see image below). You have the option to remove one of the selected courses, but you can choose to keep them both by clicking Save. This will allow you to assign more than one homebase group to a teacher if needed.
Manage Periods
The page provides more feedback regarding situations that might cause issues later on.
Period Overlaps
While it's not strictly an error, it is unusual to have periods that overlap. Imagine this scenario:
- Period 1 starts at 8:05 AM and ends at 8:25 AM
- Period 2 starts at 8:20 AM and ends at 8:45 AM
We don't prevent a school from doing this, but it's unusual enough that we are now providing feedback. If you see an exclamation mark icon on the Manage Periods page, it's warning you there might be a problem with the start and end times of different periods. Click the icon to see the details (see image below).
If the data is correct, you can ignore the warnings.
Deactivating Periods
When a period is deactivated, any future appointments for that period will be cleared out. A warning is now displayed ensuring that the admin is aware that the appointments will be cleared.
Activating Prebooking
When one or more days of the week are selected for prebooking, the process determines if:
- There are staff that have homebase student groups that also have inactive homebase courses
- There are any students that have not been assigned to homebase groups
If either of these conditions exist, a warning message will be displayed. The changes will be saved, but there is a heads-up that some of the students will not be prebooked.
Manage Student Access to Site
Prevent Student Access
This feature is particularly useful for new schools. Sometimes you want to give staff time to become used to working with ES while preventing student access. This new feature supports that objective.
An admin can go to Admin, Configuration, School Settings and select the Prevent Student Access. When selected, any attempt by a student to log on to the site will fail with a message indicating the school doesn't currently allow student access to the site.
There is not provision for allowing only certain students to have access to the site, this restricts access for all students.
Email Students Not Scheduled
Add a Custom Message
You can now add your own custom text to the email going out to students who are not scheduled. Under Admin, Manage Email Notifications, select Email Students Not Scheduled. Here you will see a new text box. Once you've set up when you want your email to go out, add an optional message if you would like, before clicking the Email Unscheduled Students button.
