District Admin View
This new application is designed for District Admins to receive an overview of how Enriching Students is being used across all of the schools within the district. It provides feedback on:
- The number of appointments created across all of the schools in the district
- The number of unscheduled students
- Percentage of appointments where attendance has been taken
- The number of licenses purchased by school and the number being used
- Number of appointments by school
- Number of adjusted offerings created by school
- Number of appointment types and attendance types in use, by school
- The ability to drill down to specific schools to view details
- And much more
This new view will provide tremendous District-level insights on how Enriching Students is benefiting each school in the district. You can drill down and view specific data about your overall district use of flex time.
To activate this feature, please open a support ticket.
Once the feature has been activated, existing district admins will be able to manage who else can access the new application.
Note that a district admin account cannot be scheduled to; that is, a district admin has no courses. However, no license is used for a district admin account. So you can essentially have an unlimited number of district admin accounts for free. They can access both the District Admin site as well as the staff site; they just can't have appointments created for them.
Enriching Students
Logging on to Enriching Students
Once a user is logged on to Enriching Students, there is no need to re-enter credentials for up to 10 hours. However, many people access Enriching Students via Classlink or Clever, which always brings the user to login.EnrichingStudents.com, instead of the actual site the user wants to use.
We've made an adjustment to the login site. If you have logged on within the past 10 hours, you will automatically be directed to the appropriate site (staff.EnrichingStudents.com for staff and students.EnrichingStudents.com for students.)
If you are a staffer that has access to multiple schools, you will be directed to the last school you were logged on to. This update will allow you to switch from one school to another without first logging off, right from within Enriching Students.
Clicking the Logout option on either the staff or student site will force you to login the next time you try to access Enriching Students.
Students
Appointments: One and Done
Schools have requested the ability to configure their accounts so that students cannot modify appointments once the student has created an appointment.
This can now be configured by an admin for the school from the Configuration > Student Settings page.
To be clear, if a student has permissions to change an appointment that was created by a staffer, they will still be able to change the appointment. This is limited to just appointments a student has created. This is about ensuring the students don't make endless changes to their appointments.
Student Profile
Students now have access to the same profile data that is available to staff on the Student Profile page. While staff can view any student's profile, students can only view their own profile.
Students access this right from their menu.
On this page, they can access their appointment and attendance type information, as well as their grade analysis.
The hope is, having access to this data will motivate a students to be more engaged in their Flex process.
Enriching Students - Staff
Appointment History
Users will now have the ability to see the history of an appointment from the appointments page. If there is any history for the student/date/period, an icon will appear to the right of the ACTIONS button. Clicking the icon will display a slide-out that will show the history of the appointment.
Additionally, there is a new report, Appointment History. This will let a user set a start and end date, a period and a student. The report will then display the same information that is displayed in the slide-out described above.
Automatically Overwriting Existing Appointments
In the current version of Enriching Students, when a staffer opens the Quick Schedule slide-out on the appointments page, the option to overwrite the appointment is set by default.
There is now a configuration option that will allow an admin to determine if this should be on by default or not. This is a school level configuration value, there is no way to change the values at the staffer level.
Displaying Student Ids & Graduation Years on All Reports
With this release, any report that displays student information will include the student Id and the graduation grade for each student on the report.
Graduation Years and Grade Levels
We've received feedback that displaying the actual graduation year is not very helpful. So with this release, we are displaying grade level (Senior, Junior, Sophomore, Freshman etc.) instead of the graduation year(2026, 2027, 2028, 2029 etc.)
If the students graduation year is outside the "standard" range, then we display the graduation year.
Homebase Teacher No Longer Required
When saving a student, we have always required that a school select a homebase staffer. This was used to support various features in the application, including various reports.
However, there are a number of schools that don't have the concept of a homebase teacher, at least, not within Enriching Students. Not having this value made it difficult to edit a student record.
The field is no longer required.
Improving the Dashboard Experience
Enriching Students has long allowed schools to import grades. And some schools have a large student body. The impact of this can often be felt on the Dashboard page. If a staffer is trying to get to the Take Attendance page and they have a large number of students with grades that are lower than what's acceptable for the school, it can take time for the page to finish loading. In the mean time, the page is blocked from being used
We've made an adjustment to the page, instead of the entire page being blocked, individual sections are blocked. Meaning that you can more quickly navigate to the Take Attendance page, even if the grades are still loading in the background.
Logged on Staffer Can Switch to Different School
If your account is associated with multiple schools, you will no longer need to visit the login page to move from one account to another. A drop down will appear that will allow you to select the school you wish to log on to.
Private Student Groups
A staffer can mark a student group as being private. The impact is, when another staffer/substitute selects you on the Appointments page, and is presented with your student groups, the private student group will not be displayed to them. This is true even if the substitute has been set to impersonate your account.
This is useful if a roster is being put together to work with students in highly sensitive situations.
Please note: this limitation does not impact admins; admins can always see ALL student groups.
Soft Deleted Students Indicator
Currently, both the Manage Staff and Manage Students pages display soft deleted users. We've updated the Students page to include a chip to indicate the user is soft deleted.
Definition of Soft Deleted: this status is set when a user that was previously imported is not found in the latest data import. In other words, this is controlled by the application. This is different than a user that has been marked as Inactive. A status of inactive is set by an admin. In both cases, the user no longer has access to Enriching Students and if they are a staffer, they are not using a license.
Student Images Can Be Displayed
Both Enriching Students and Student Pass have the ability to display images of students. We're looking to receive some feedback from schools on what approach would be easiest for you. In the meantime, please open a support ticket to start the process.
The Updated Dashboard & Navigation Will Be In Place for Everyone
With the latest release, the "classic" version of the dashboard & navigation will no longer be available. All staff users will have the updated dashboard and navigation.
Student Pass
Audio Notification For Pass Request
A staffer has the option to hear an audio notification when a student requests a pass.
This can be activated/deactivated by the staffer by selecting the music note icon at the top of the page next to the notification bell.
Create Pass Page - More Feedback
Currently, the page that allows a staffer to create a student pass, doesn't display any details, which can make it difficult to determine if the student should be granted the pass.
An adjustment has been made that will provide details for all passes for the selected student for the day and their pass history.
Desktop Notifications
Desktop notifications are a way of being notified by your browser that an open application wants your attention. This is something that you control via your browser.
If you allow it, Enriching Students can use Desktop Notifications to notify you that a student pass request needs your attention.
Favorite Locations
Staff and students both have the option to set "favorite" locations. This makes the selection of locations in schools with a large number of locations easier.
Locations that are favorite of a student will only be marked as a favorite of that student. When the student is selecting from a list of locations, their favorites are sorted to the top of the list.
However, when a staffer marks locations as favorites, they will be displayed to a student that selects the staffer when requesting a pass. So if staff mark favorites, (such as the rest rooms that are closest to their room), this will be sorted to the top of the list for any student that selects that staffer.
Kiosk Mode
Schools have asked for students to be able to create their own passes, but under the supervision of a staffer. To that end, we have created a Kiosk Mode for Student Pass.
In order for this feature to work, a device will have to be available in the classroom that both the staffer and students will have access to.
Once logged on to Enriching Students, from the Dashboard, click the "MY STUDENT PASSES" option. From their, click the KIOSK MODE button.
You will be asked to create a 6 digit PIN. The PIN will be required in order to take the site out of Kiosk mode. This prevents the students from accessing the other features of Enriching Students. If you forget the PIN, simply log off and back on to Enriching Students.
In Kiosk mode, students will be able to provide their
- Email address
- SIS Id
- Student Number
- State Id
To be clear, this will only work if you've provided these values to us.
The process runs the same checks that are run when a staffer creates the pass:
- Is the location at capacity
- Are there any students out with passes that would prevent the current student from receiving a pass
If there are no conflicts, the student is granted a pass.
If there are conflicts, the request is placed into a queue. The same rules apply here as described under the Queued Passes section below.
Badges
If your school uses badges, the students can use their badge at the Kiosk. The values that can be scanned are the same as what can be entered manually:
- Email address
- SIS Id
- Student Number
- State Id
More Feedback When a Pass Fails To Save
Currently, if a student pass cannot be saved for any reason, the save process stops on the first failure. For example, a location might be full and a student has a pass that the requester is blocked from being out with.
Currently, the first failure would be returned (the location is full) and no further checks are done. The problem with this approach is, the staffer might decide to override the block and allow the student to go, without realizing there are other reasons why the pass should not be granted.
With this update, the staffer will receive a list of all the conditions that could prevent a request from being granted. This will ensure they have all relevant information if they choose to override and grant the pass.
Queued Passes
There are several reasons why a student might not be allowed to have a pass.
- The location the student is looking to visit is at capacity
- There are students out with passes that prevent the pass from being granted
Currently, Student Pass simply doesn't allow a pass to be created. However, with this release, instead of the process just returning an error status, the staffer will have the option to place the pass into a queue.
The pass will stay in the queue for 10 minutes. If within that 10 minutes, the circumstances change enough to allow the student to have the pass, the pass will be activated and the student will be notified. If 10 minutes go by and the pass still cannot be granted, the queued pass will be cancelled.
Respond to Student Requests When Notified
When a student requests a pass, the staffer is notified immediately, regardless of which page the staff is currently on. From the notification, the staffer can choose to accept/deny the student request.
This means that you could be scheduling students for instance, receive a pass request and respond to it, all without leaving the page you are on.
Student Pass Usage Report
This report provides a detailed analysis of passes granted to the selected student. It displays:
- The location
- Staffer that granted
- When it was granted
- The duration for the pass
- How long the student was actually away
It provides a total time away for each day in the report.
As is true of all reports, the raw data can be exported to a CSV file.
